1. Who we are
PaperRoute Driver is operated by Saunders Simmons Ltd, trading as PaperRoute. We provide software for waste collection, route management, collection records, and compliance workflows.

2. What this app does
PaperRoute Driver is used by drivers and operational staff to view routes, manage collection stops, record quantities and weights, capture collection notes, take supporting photos, collect customer signatures, and sync collection data back to the PaperRoute platform.
3. Data the app collects
3.1 Account and company data
When a user signs in, the app processes account details such as name, email address, employer or company, role, and the routes or stops assigned to that user.
3.2 Route and collection data
The app processes operational data entered or viewed during collections, including customer names, service addresses, service references, waste details, quantities, weights, collection notes, uncollected reasons, and related compliance records.
3.3 Photos and camera data
If you use the in-app camera, the app processes photos taken for collection evidence, notes, or service issues. These images are associated with the relevant collection record and uploaded to the PaperRoute platform when sync is available.
3.4 Signatures
The app processes customer signatures and printed names where signatures are required to confirm collection details, declarations, or handover records.
3.5 Location data
The app processes device location data to support route navigation, route progress, live vehicle positioning, and collection workflow accuracy. This may include foreground location while the app is open and background location while an active route is in progress, where enabled by the business using the platform and allowed by the device user.
3.6 Device and diagnostic data
We may process limited technical information such as app version, device status, sync state, and error logs to maintain service reliability and investigate faults.
4. Why we use this data
- To authenticate users and control access to assigned routes and stops.
- To let drivers complete collections and create compliance records.
- To capture evidence such as notes, photos, and signatures.
- To support navigation, route progress, and operational oversight.
- To sync data between the device and the PaperRoute platform, including offline sync once connectivity returns.
- To maintain security, performance, and service support.
5. Permissions used by the app
- Camera: used to capture collection or evidence photos.
- Photos / media access: used where the app needs to attach or manage captured images on the device.
- Precise and approximate location: used for navigation, route tracking, and active collection workflows.
- Background location: used only to support live route tracking and route progress while a route is active.
- Notifications: may be used for operational updates or app status messages.
The app does not use the device advertising ID for advertising or marketing purposes.
6. Legal basis
For customer organisations using PaperRoute, Saunders Simmons Ltd generally acts as a data processor for operational data entered into the platform by that organisation and its staff, and as a data controller for account, billing, support, and service administration data.
Our legal bases include contract performance, legitimate interests in operating and securing the service, and compliance with legal obligations where relevant.
7. Sharing and service providers
We may use third-party providers to operate the service, including:
- Supabase for database, authentication, and storage services.
- Vercel and related hosting infrastructure for associated platform services.
- Other service providers used to support sync, messaging, monitoring, and customer support.
We do not sell personal data collected through the app.
8. Offline storage and retention
To support field work in low-signal areas, the app may temporarily store route, collection, photo, and sync data on the device until that data can be uploaded.
Retention of operational data in the PaperRoute platform depends on the service agreement with the customer organisation and any legal retention requirements that apply to waste collection or accounting records.
9. Your rights
Depending on the context in which your data is processed, you may have rights of access, correction, deletion, restriction, objection, and portability under UK GDPR.
